The short version
- We never collect members' email addresses. Members don't have accounts and don't sign in. Only the one or two club officials who run the scoring have a login.
- Location is stripped from photos on the phone, before upload. We never receive it.
- Leaderboards are public. A member's name, their catches and their placing can be seen by anyone with the club's web address. That's the point of the board — but it should be no surprise.
- We don't advertise, we don't track you around the web, and we don't sell anything to anybody. There are no advertising or analytics cookies on this site or in the apps.
- Your club's data belongs to your club. We hold it so the app works; we don't use it for anything else.
Who this covers
ClubScoreOS is used by two different groups of people, and we hold very different amounts of information about each.
Club officials — usually a secretary or scorer — have an account and sign in to the admin app. Club members do not have accounts, never sign in, and never give us an email address. A member appears in ClubScoreOS because their club added them to its own member list.
An important distinction: your club decides what goes into ClubScoreOS about its members. We provide the software and store the data; the club runs its own roster, its own competitions and its own decisions about who appears. If you're a member and you want something changed or removed, your club is the right first port of call — see Your choices below.
What we hold about club officials
An email address and a password, so you can sign in. The password is never stored in a readable form. We also record which club your account belongs to, and a display name if you enter one. That's the lot — we don't ask for a phone number, an address or a date of birth.
What we hold about club members
Only what a club needs to run its scoring:
- The member's name, as their club enters it.
- Optionally a category (senior, junior, and so on) and a team, if the club uses them.
- Their catches — species, length or weight, which competition, and when.
- If the club uses catch upload: the photo of the fish, and the time the photo was taken.
No email address, no phone number, no home address, no date of birth, no location. We have no way to contact a member directly and no wish to.
Photos
On clubs that use catch upload, a member picks a photo of their fish and sends it in for the club's scorer to check. Three things are worth knowing about what happens to it.
Location data never reaches us. Phones normally record GPS coordinates inside a photo file. Before the photo leaves the phone, ClubScoreOS re-encodes it, and that process discards all of that hidden information. The only thing we deliberately keep is the date and time the photo was taken, because it helps the scorer work out which competition a catch belongs to.
Every photo is automatically screened before it is stored. It is sent to Google's image-safety service, which checks for explicit content and sends back a verdict. This is to stop the upload page being abused — it takes seconds and no person sees the photo at that stage. Google processes the image for that check; we don't give them anybody's name.
A person then reviews it. Your club's scorer looks at the photo, reads the measurement off the brag mat and either accepts or rejects the catch. A photo that is rejected or removed is kept for a short period — currently 100 days — in case the member queries the decision, and is then deleted automatically.
Leaderboards are public, on purpose
If a club uses the members app, its leaderboards are on a public web address. Anyone with the link can see member names, catches and standings without signing in — that is what makes it shareable on a club Facebook page or with a QR code at the clubhouse.
We think that's the right default for a fishing club leaderboard, which has always been pinned on a wall. But it is a genuine choice, and if your club would rather not have it, the members app is an optional part of the product — a club can use the scoring tool on its own.
Where your data lives, and who we rely on
ClubScoreOS doesn't run its own servers. Your club's data lives on Supabase, a managed platform built on PostgreSQL and running inside Amazon Web Services data centres. Connections are encrypted, and so is the data where it sits.
Supabase runs data centres in several regions; ours is in Seoul, South Korea. Australian clubs are most of who we serve, so we may move to a closer region in time — if we do, we'll say so here. Either way, a club official's access is locked to their own club: they can never see or change another club's records.
These are the services we use, and what each one does:
- Supabase — the database, sign-in and photo storage.
- Netlify — serves this website and both apps.
- Cloudflare — the "are you a human?" check that keeps automated abuse off the upload page, and storage for photo backups.
- GitHub — a nightly backup of club scores, in a private repository.
- Google Cloud Vision — the automatic photo screening described above.
- Resend — the handful of account emails. Members never receive email from us at all.
None of them are given your data to use for their own purposes. The backups exist so a club's season can be put back if something goes wrong, and are used for nothing else.
How long we keep things
A club's scores and members are kept for as long as the club uses ClubScoreOS — a fishing club's records are its history, and clubs care a great deal about past seasons. Rejected and removed photos are deleted automatically after 100 days. If a club leaves, tell us and we will delete its data; we can provide a copy of it first.
Your choices
If you're a club member and you'd rather not appear on your club's public leaderboard, or you want a catch photo taken down, speak to your club — they control their own member list and can remove or change how you are shown. If that doesn't get you anywhere, email us at the address below and we'll help.
If you're a club official, you can change or delete your club's members, catches and photos yourself in the admin app at any time, and you can change or delete your own account details in Settings.
Cookies and what's stored on your device
There are no advertising or analytics cookies anywhere in ClubScoreOS. We don't use Google Analytics, we don't have a Facebook pixel, and there is nothing following you to other websites. There is no cookie banner because there is nothing to consent to.
The apps do save a few things on your own device, to make them work: which club you last looked at, a copy of the leaderboard so it still shows if you lose signal, and a list of your own recent uploads so you can see whether they've been approved. That information stays on your phone — it is never sent to us — and clearing your browser data removes it.
Children
Junior members are a normal part of fishing clubs, and a junior's name may appear on a leaderboard exactly as an adult's does. We hold no contact details for any member, junior or otherwise. If a parent or guardian wants their child's name changed or removed, speak to the club, or email us and we'll help.
Changes to this page
If we change how any of this works, we'll update this page and change the date at the top. If it's a significant change, we'll tell club officials by email.
Getting in touch
